Under general direction, the Executive Assistant performs highly responsible, confidential, and complex administrative assignments for the CEO; relieves the CEO of administrative and technical detail; serves as the liaison to the Board of Directors and senior leadership.
Minimum
Qualifications:
Bachelor's degree required; strong work ethic with one to five years of experience, preferred supporting executives, preferably in a non-profit organization; experience and interest in internal and external communications; proficient in Microsoft Office products, including Outlook, Word, Excel, and Power Point.
Must be able to collaborate and communicate positively with others in a professional office environment; ability to work well independently and as part of a team; provide prompt, efficient, and responsive service; Excellent communicator between and among people, backed by diplomacy and exceptional service orientation; skilled in the art of interpersonal relationships.
Must be able to discreetly handle and maintain confidential and politically sensitive matters; perform responsible and difficult administrative work using independent judgment; use independent judgment and initiative in making sound decisions and in developing solutions to problems; plan, organize, and schedule office priorities.
Ability to self-start, manage up, work independently once given assignments, and achieve high standards to meet multiple deadlines.
Strong organization, time management, prioritization, problem-solving, and communication skills.
Willingness to have the work assigned be varied, with some constant elements and some ever-changing.
Strong project management experience, an ability to stay organized and on deadline while managing the macro and micros details of the job.
Must possess excellent writing and editing skills; keen attention to detail, professional writing style, consistency, and ability to produce error-free work.
Summary of
Responsibilities:
Complete a broad variety of administrative tasks for the CEO; schedules, organizes and manages an active calendar of appointments and activities; complete expense reports; process mileage reports; compose and prepare correspondence that may be confidential; arrange complex and detailed travel plans, itineraries, reservations and agendas.
Collaborate with the CEO daily to review outstanding inquires and tasks, determine prioritization, and ensure follow-through and competition of requests; track CEO projects, monitor and track strategic plan goals and objectives.
Receive, compile, analyze and monitor agency and program level data, analyze, graph, and present information analysis to CEO; maintain system for data collection, retrieval, and analysis.
Prepare reports and studies as directed by CEO.
Create and process letters, e-mails, and other documents independently for the CEO; coordinate executive communications with the Communications Team and Directors; interpret and explain office policies, programs, and legislative regulation; provide effective oral and written communication, and maintain relationships with the senior leadership, office staff, outside agencies as directed.
Provide a bridge for smooth communication between the CEO and internal departments; demonstrate leadership to maintain credibility, trust and support with senior management staff.
Keeps the CEO apprised of potential problems and concerns.
Manages the CEOs calendar.
Communicates regularly and closely with the CEO to keep appraised of upcoming commitments and request for their time.
Receive all internal/external meeting requests directly and coordinate with staff/CEO to prioritize and schedule.
Coordinates meetings, events or conferences by arranging for facilities and support, distributing meeting invitations, preparing and distributing agendas, distributing meeting materials, and recording meeting notes and minutes.
Ensure CEO is prepared for meetings, gathering and preparing preliminary information including (where applicable) meeting content, executive summaries, talking points, attendee bios, driving and parking instruction, venue considerations, etc.
Assist the CEO manage information by filtering, summarizing, prioritizing correspondence, information, documentation to highlight and bring to CEO's attention the essential points.
Develop an email filing and review process for ease of maintenance, including setting categorizations, rules, and alerts.
Review email content, sorting and filtering based on prioritizations and applicability, removing unsolicited advertising and/or redirecting emails to applicable staff for response.
Ensure the CEO completes follow-up and requests.
Develop and maintain filing system for the CEO, including confidential files and email; maintain records, locate files, documents, and other information as necessary; research and provide information on subjects as required; refer requests for special information about technical or specialized matters to appropriate personnel.
Schedules board meetings in coordination with board members and CEO's schedule; prepares communications to the board; prepare board materials including agendas, updates, reports, and executive summaries; prepare logistical support, and setup board room.
Plan, coordinate and ensure the CEO's schedule is followed and respected; provide gatekeeper and gateway role; create win-win conditions for direct access to the CEO's time.
Research, prioritize, and follow-up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature; determine appropriate course of action, referral, or response.
Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities; follows up appropriately; acts as a barometer, having a sense for the issues taking place in the environment and keeping the CEO updated.
Manage a variety of special projects for the CEO, track milestones, provide progress reports, track accountability and report results.
Ensure that the CEO's bio is kept updated and coordinate with the Communications and Community Relations Manager to respond to requests for materials regarding the CEO and the organization in general.
Perform various other duties as assigned Work Schedule:
